1. Download the manifest

The manifest is a single XML file. It does not install anything on your PC — it just points Word to the cloud-hosted add-in. You can delete it from your Downloads folder after step 2.

What just downloaded? The XML manifest references addlify.uk/medic/taskpane.html — the actual add-in code lives on our HTTPS servers. No local executable, no admin rights needed.

2a. Install in Word for Windows

One-time setup: trust a folder

Word will only sideload manifests from a folder it trusts. You set this once, then any future manifest dropped in that folder loads automatically.

    Create a folder for your add-ins, e.g. C:\Users\YourName\AddlifyAddins.

    Move the downloaded addlify-medic-manifest.xml into that folder.

    Right-click the folder → Properties → Sharing → Advanced Sharing. Tick Share this folder, click Permissions, give your Windows user Read access, OK.

    Note the share path shown (e.g. \\YOUR-PC\AddlifyAddins) — you'll paste it next.

    Open Word. File → Options → Trust Center → Trust Center Settings → Trusted Add-in Catalogs.

    Paste the share path in Catalog URL, click Add catalog, tick Show in Menu, OK twice.

    Restart Word.

Load the add-in

    In any Word document: Insert → Get Add-ins → My Add-ins → Shared Folder.

    Select Addlify MedicAdd.

    The Addlify panel opens on the right. Done.
If you also use Addlify Legal, both manifests can sit in the same trusted folder.

2b. Install in Word for Mac

    Open Finder and press ⌘ + Shift + G to open Go to Folder.

    Paste this path and press Return:
    ~/Library/Containers/com.microsoft.Word/Data/Documents/wef

    If the wef folder doesn't exist, create it.

    Drag addlify-medic-manifest.xml into the wef folder.

    Restart Word.

    Insert → My Add-ins → Developer Add-ins → select Addlify Medic.
If Developer Add-ins doesn't appear, your Word Mac may be too old. The minimum is build 16.30 (2019).

2c. Install in Word Online (browser)

    Open or create a document at office.com (any Microsoft 365 account works, including free).

    Insert → Add-ins → Upload My Add-in.

    Click Browse, select addlify-medic-manifest.xml, click Upload.

    The Addlify panel opens. Done.
Word Online limitation: the sideloaded add-in is scoped to this document only. To use Addlify in another document, repeat Upload My Add-in there. For multi-document use, prefer Word desktop (2a / 2b).

3. Activate your licence

    The Addlify panel will show a key entry screen.

    Paste the licence key sent to your email after registration. Click Activate.

    Your device gets bound to the licence (within the device limit of your plan: 1 for Solo, 2 for Pro, 2 per doctor for Clinic, unlimited for Enterprise).

    Open any patient note — pick a template from the Addlify panel to get started.
Lost your key? Recover it by email — we'll send the active keys associated with your address.

To unbind a device (e.g. before changing PCs), open the panel → settings → Disconnect this device. The seat is freed for reuse.

Interactive Clinical Sandbox (DEMO)

For immediate evaluation without local setup, you can access the full interactive sandbox directly on the homepage. This simulator implements real-time client-side behavior identical to the active Word Add-in workspace.

How to Unlock the Sandbox

  1. 1Navigate to the homepage (addlify.uk) and scroll to the Interactive Sandbox panel.

  3. 3Switch between the specialized clinical sandboxes: Medic, Dental, Pharmacy, Vet, and Rehab.
Instant Demo Parameter: You can append ?demo=true to any clinical product page URL (e.g. dental.html?demo=true) to automatically trigger our automated high-fidelity demo. This pre-populates patient details, highlights the active clinical templates in green, and activates a floating demo badge!

  • Addlify Pharmacy: Real-time drug-to-drug interactions warnings, active Metformin (Vitamin B12) or ACE inhibitor (Zinc) nutrient depletion alerts, and patient daily administration scheduling.
  • Addlify Vet: Species-specific anesthetic calculators (Propofol & Amoxicillin doses based on body weight), ISO 11784/11785 microchip validator checks (15 digits), and the CRASH triage emergency scoring board.

Addlify Medic ships with templates meticulously tuned for both the UK NHS / Private General Practice standards and Romanian CNAS private-practice specialties. Each template defines a structured layout and is filled in dynamically while you type or dictate.

1. Medical Abbreviation Expander (Clinical Shortcuts)

Type quick clinical shortcuts followed by Space or Tab inside any input, or select text in Word and click "Expand shortcuts in Word" to instantly expand medical abbreviations (e.g. BPBlood Pressure, AFAtrial Fibrillation, SOAP → full SOAP template). Custom shortcuts are saved persistently.

5. GDPR Automatic PII Anonymizer

Before exporting case reports or sharing publications with colleagues, click Anonymize document. The add-in automatically scans the active Word file using secure regex patterns and replaces names, emails, Romanian CNPs, UK NHS numbers, and phone numbers with masked tags, maintaining GDPR Article 9 compliance.

6. Automatic GP Referral & Letter Generator

Click GP Letter to compile the active patient demographic details, clinical SOAP notes, and prescribed treatments into a beautiful, pre-configured professional clinic letter or referral sheet, inserted instantly into your Word document.

7. Offline Drug Interaction Warnings

Entering medications triggers real-time checking against a clinical risk database (e.g. NSAID + NSAID duplicate therapy, ACE inhibitors + Spironolactone, Sildenafil + Nitrates). High-risk combinations display high-visibility alerts directly inside the side panel.

Located in the Tools tab, this module allows pediatricians to enter a child's age, gender, height, and weight. It instantly calculates WHO height-for-age and weight-for-age percentiles with high-visibility growth assessment indicators. Click "Insert Report" to place a structured pediatric clinical assessment in Word.

10. 10-Year Framingham Cardiovascular Risk Estimator

Input the patient's age, gender, systolic BP, smoking status, total cholesterol, HDL, and diabetic status. The add-in calculates their Framingham General Cardiovascular Risk score and presents a 10-year risk assessment bar. Click "Insert Prevention" to paste a styled cardio preventive plan in the Word file.

Evaluate anxiety (GAD-7), depression (PHQ-9), or DVT risk (Wells Score) using standard clinically validated questionnaires. Select a questionnaire, select the patient's answers, and calculate scores on the spot. Click "Insert Report" to document DVT/depression/anxiety levels in Word.

When selecting specific ICD-10 diagnosis codes (e.g. I10 Hypertension, E11 Diabetes), the clinical validation report automatically displays official CNAS / NHS referral guidelines (e.g., advising Cardiology referral, ECG checks, or Diabetology specialized commission codes), preventing insurance payment rejections.

15. Pediatric Weight-Based Dosage Calculator

Calculates the exact safe dosage in both mg and ml for standard pediatric suspensions (Paracetamol, Ibuprofen, Amoxicillin) based on the child's weight, with built-in safety alerts and frequency guidelines.

Patient data & GDPR

Patient names, CNPs, diagnoses and consultation text never leave your machine. The add-in stores patient profiles in an AES-256 encrypted local store, scoped to your Windows / Mac user account. The encryption key is derived from your Windows credentials (DPAPI) on Windows or your Mac Keychain.

The only data sent to Addlify servers is:

  • Licence validation — your key + a device fingerprint (no patient data, no document content).
  • Template update checks — what version of templates you have. We send back the new version, you don't send us anything else.
  • Crash reports — opt-in only, anonymised. Toggle in panel → settings.

You are the data controller for patient records under GDPR. Addlify is not a sub-processor for those records since we do not receive them. Our DPA covers the licence/account data we do hold (email, billing).

Troubleshooting

Word shows a blank white panel after install

Almost always a stale cache. Close Word, delete cached files at %LOCALAPPDATA%\Microsoft\Office\16.0\Wef\ (Windows) or ~/Library/Containers/com.Microsoft.OsfWebHost/Data/ (Mac), restart Word, re-add the add-in.

"Manifest is not valid" on upload

You probably opened the file in a browser (which adds HTML wrapping) or downloaded it through a tool that truncated it. Re-download from the button above and check the file size is between 4 and 8 KB.

"Cannot connect to server" inside the panel

Word add-ins need outbound HTTPS to addlify.uk on port 443. If you're on a clinic / hospital network, ask IT to whitelist that domain. The add-in does not work offline at first activation, but once the device is bound, templates fill locally.

"Device limit reached" when activating

Your plan has a per-device cap. Open Manage my licence, see the active devices list, and disconnect one you no longer use.

Patient profile data lost after Windows update

The encryption key is derived from your Windows account. Major OS updates very rarely invalidate it. If this happens, restore from the local backup (panel → settings → Restore profile). We strongly recommend using our Cloud Backup & Sync feature inside the Account panel to securely save and restore your data to either Microsoft OneDrive or Google Drive — all performed with 100% client-side security.

I can't find "Insert → Add-ins" in my Word ribbon

File → Options → Customize Ribbon → tick Add-ins on the right side, OK. If the option doesn't exist at all, your build is below the minimum (Word 2016 RTM).

Frequently asked questions

How does the Session-Isolated SQLite database protect my medical settings?

When running in local/test environments or upon central database fallback, Addlify Medic boots a private SQLite database (`finance_[hash].sqlite`) isolated using a secure cryptographic hash of your session. This keeps active license profiles and device authorizations perfectly private on the server, with zero shared database contamination risk, fully conforming to premium medical GDPR compliance.

Does Addlify Medic upload patient records to your servers?

No. Patient data (names, CNPs, diagnoses, consultation text) never leaves your machine. The add-in is the data processor, you are the data controller. See Patient data & GDPR above for full detail.

How does the Cloud Backup & Sync (OneDrive & Google Drive) feature work?

Addlify Medic provides direct, client-side integration with Microsoft OneDrive (via Microsoft Graph API) and Google Drive (via Google Drive v3 API). You can authorize the add-in to save your patient registry and custom templates directly to your cloud storage. No data is ever sent to or processed by Addlify servers — keeping patient credentials and clinical configurations fully compliant under GDPR Article 9. Backup files are saved as /AddlifyMedic/backup.json on OneDrive and addlify-medic-backup.json on Google Drive.

Can multiple doctors share patient profiles?

Clinic and Enterprise plans yes — patient profiles can sync across the licensed doctors via an end-to-end encrypted shared store (the encryption key stays on your network share, never on our servers). Solo and Pro plans store data per-user only.

Are templates compliant with Romanian Casa de Asigurări requirements?

Yes for the templates that have an official format (concediu medical, scrisoare medicală, bilet de trimitere). We track CNAS (Casa Națională de Asigurări de Sănătate) format updates and ship them in the monthly template pack.

What should I do if the taskpane shows a blank white screen or connection timeout?

This is commonly caused by a stale Office WebView cache. To fix it, close Word, wipe all cached folders in `%LOCALAPPDATA%\Microsoft\Office\16.0\Wef\` (on Windows) or `~/Library/Containers/com.Microsoft.OsfWebHost/Data/` (on Mac), and restart Word to reload the fresh panel UI.

Why did I receive a 2FA OTP code on my email during activation?

Patient data is classified as GDPR Article 9 special category. To protect clinical compliance, Addlify Medic enforces a short-lived 6-digit 2FA verification code sent to your registered address upon adding a new device on Clinic/Enterprise plans. Once validated, that device is securely whitelisted.

Does it work offline?

After first activation, templates and ICD-10 search work offline. Internet is required for: initial licence activation, weekly licence revalidation, template pack updates, and AI suggestions on Pro+ plans.

Can I install it on more than one PC?

Yes, up to your plan's device limit. Solo = 1, Pro = 2, Clinic = 5 doctors × 2 each, Enterprise = unlimited. Switching devices is done from Manage my licence or the panel's Disconnect this device button.

What happens to my data if I cancel?

Local data (patient profiles, custom templates) stays on your PC — uninstalling the add-in does not touch it; delete the manifest folder for clean removal. Server-side, your licence is marked cancelled; we keep email + key history for 90 days then anonymise it (see privacy policy).
